Te Whiwhinga mahi - The Opportunity - Senior Rail Services Coordinator


 The Rail Services Group (RSG) is responsible for the performance, specification, delivery oversight and outsourced supplier management of passenger rail services, station operations and facilities management, and rail asset management maintenance and delivery.


We are seeking a Senior Rail Services Coordinator.

This role supports the GM Rail Services (GM) and management team (collectively the RSG Senior Leadership Team (SLT)) in the coordination and administration of the SLT team management, SLT activities across business and work programme management.


Key tasks will include:


  • Organise and maintain Rail Services Group (RSG) Senior Leadership Team (SLT) governance and management structures, systems and meetings including setup, documentation, reports, secretariat.
  • Facilitate communication, escalations and requests between GM and internal / external stakeholders, redirecting and close-out with SLT as required.
  • Document control across RSG Group Manager and Senior Leadership Team activities.
  • Correspondence management for Group Manager.
  • Administration of risk registers and risk management.
  • Administer conference and travel arrangements.
  • Develop standard team administration tools.
  • Coordinate business plan preparation and reporting for GM with support of SLT.
  • Coordinate work programme reporting for GM.
  • Support the GM in RSG led governance and management structures, systems and meetings, including setup, documentation, reports, secretariat.
  • Liaise with SLT to ensure work programme has standard controls in place across document management, risk management and governance.
  • Time management including calendar, meeting prep., email management, point of contact for GM.

  • 10 years experience in procurement, finance, or senior secretariat experience in governance or programme / project administration.
  • Experience within a contracted services environment.

  • NCEA Level 3
  • Qualifications in: Accounts payable Contract administration Governance administration.
  • Desirable will be a NZQA certificate in finance, contract management or project administration and experience with SAP
  • Experience working with Senior Leadership teams
  • High levels of self motivation, organisation and interpersonal skills.
