About the Role
Stantec is seeking a Project Management Administrator/Project Controls Administrator to work in our New Zealand Buildings team, based in either our Christchurch or Auckland Office.
This role will ensure our projects are well managed through the project life cycle by supporting Project Managers to plan, program, coordinate and manage specific projects while taking on certain task‑management elements of individual projects as they arise.
You will also support senior staff with aspects of managing our overall project portfolio.
Day‑to‑Day Tasks
- Administration.
- Support Campaign and Proposal staff with proposal material.
- Support development of Project Execution Plan and Health and Safety Plans.
- Implement established project control processes and procedures for project execution, including, but not limited to, project creation, scope management, budgets, timeframes, profitability, and risk.
- Prepare and establish baseline schedule (or programmes) in conjunction with project team members.
- Help monitor scope, scope creep, cost and schedule alignment throughout the project phase.
- Resource monitoring in terms of consistent personnel changes.
- Monitor against schedule baseline and help control budget through accurate forecasting.
- Monitor for variances and trends.
- Assist Project Managers and project teams with monthly schedule/programme updates, financial forecasting, invoicing and progress reports to internal and external clients.
- Be accountable for own quality of workmanship by providing accurate reports, document control and monitoring within the timelines set for the project.
Qualifications
To be successful for this role you’ll need:
- Extensive knowledge of Microsoft Office suite and other Project Management software (e.g., Project, Primavera, Oracle, SAP).
- A capacity to learn quickly, including Stantec PM/Financial tools and processes.
- Strong self‑organisational and process skills, comfortable with multiple tasks, and outcome‑focused.
- Strong interpersonal skills to communicate with a wide range of stakeholders and apply diplomacy in tense situations.
- Sound administrative skills, including attention to detail, written and oral communication.
- A conscientious person willing to take initiative and ownership of areas of responsibility to meet project requirements, and the ability to work on several projects by balancing priorities consistently.

NZ$120,000 - NZ$150,000
Location
Primary: Auckland, New Zealand.
Secondary: Christchurch, New Zealand.
Travel
No travel required.
Schedule
Full‑time, Individual Contributor, Regular employee status.
