Location: East AucklandWork Type: Full-time, Monday to Friday (flexibility required for occasional weekend or after-hours shifts)Reports To: Operations ManagerAbout the RoleOur client is seeking a proactive and detail-oriented Operations Coordinator to join their Retail team.
In this role, you will be instrumental in ensuring the smooth daily operations of their assets, focusing on safety, compliance, maintenance, and contractor management.You'll be part of a collaborative team where you'll be encouraged to challenge the status quo, seek efficiencies, and contribute meaningfully to asset performance and customer experience.
This position offers opportunities to grow both professionally and personally through hands-on experience and structured support.Key ResponsibilitiesOperations & Maintenance CoordinationWork with operations and contractors to manage and track workflow system tasks and job requests.Regularly monitor work orders to ensure timely closure and invoicing.Maintain contractor profiles including insurance, SWMS, and contract documentation.Lead daily service routines, task lists, and huddles with onsite maintenance teams.Planned Preventative MaintenanceConduct regular inspections of buildings and car parks focusing on safety and presentation.Support coordination of engineering and ad hoc services with adherence to service agreements.Organise monthly contractor service meetings and follow through on deliverables.Contractor Management & GovernanceManage contractor inductions and permit systems (e.g., hot works, confined space).
Monitor and evaluate contractor performance against industry and internal benchmarks.Operational Management SupportSupport the Operations Manager with department administration and WHS awareness.Coordinate and document H&S meetings.Act as a liaison between retailers, centre management, and building owners.Lead coordination of onsite cleaning and security services, including performance oversight.Assist with incident management, audit tracking, and financial platforms for service/job processing.ComplianceEnsure all compliance schedules are up to date and support regulatory inspections.Administer the centre's contractor induction platform and manage incident/audit logs.Tenancy CoordinationOversee tenancy fit-outs and de-fits ensuring compliance and safety.Coordinate building approvals and relevant certification processes.Collect and manage all required access and trade documentation from contractors.What You'll BringQualifications:Tertiary qualifications in property, commerce, or business management are desirable.Experience:Background in property/facility management and operational project delivery.Strong knowledge of shopping centre operations and administration.Experience with systems such as Yardi, Rapid Global, Periskope, and Microsoft Office.Proven ability to manage contractors, budgets, and operational processes.Skills and Attributes:Strong organisational skills with the ability to prioritise and meet deadlines.Capable of working independently and using initiative.Confident in leading during emergencies and high-pressure situations.Excellent verbal and written communication skills.Customer service focused with a collaborative, team-oriented mindset.Proactive in continuous improvement and eager to learn and grow.If you're looking for a role where you can make a real operational impact while growing your career in a supportive and forward-thinking environment, we'd love to hear from you.Apply now to join a team that values integrity, empowerment, and teamwork.Or, for further information about this job, please contact: Dipenti Shrestha - Senior Recruitment Consultant Email: ****** On SocialShare on Facebook Tweet this Job Share on LinkedIn
