What You’ll Be Doing

You’ll provide high-level administrative and operational support to our Department Heads, keeping calendars, inboxes, processes, and communications running flawlessly.

You’ll also contribute to company-wide initiatives and projects, ensuring the leadership team can focus on strategy and growth.

  • Manage Department Heads’ inboxes, prioritising and flagging key correspondence
  • Maintain and coordinate calendars/diaries, schedule meetings, and prepare agendas
  • Book and organise Strategy Team meetings, take minutes when required, and arrange catering
  • Assist with personal errands or PA duties as needed
  • Ensure client-facing resources are professional, accurate, and delivered on time
  • Send and receive courier packages, order supplies, and maintain office systems
  • Answer incoming calls and direct them appropriately
  • Maintain filing systems, Dropbox management, and company SOPs
  • Coordinate office-wide surveys and collate results for review
  • Update and maintain databases including emails, LinkedIn connections, and HubSpot records
  • Support distribution of internal and external communications, including newsletters
  • Participate in and manage special projects assigned by Department Heads or Director of Operations
  • Collaborate with cross-functional teams to improve processes and overall efficiency

You bring:

  • Proven experience in administration, executive support, or office coordination
  • Strong organisational and time management skills with the ability to prioritise effectively
  • Excellent written and verbal communication skills
  • High proficiency in Microsoft Office/Google Suite; familiarity with HubSpot or other CRMs
  • Attention to detail and accuracy across all tasks
  • Ability to work independently and collaboratively
  • Professional, personable, and discreet when handling confidential matters
  • Positive, proactive attitude with a solutions-focused mindset

Bonus if you have:

  • Previous experience in a PA or EA role supporting multiple stakeholders
  • Experience with survey tools, newsletter platforms, and Dropbox (or similar file management systems)
  • Background in client care or customer service roles
  • Familiarity with creating and managing Standard Operating Procedures (SOPs)
