OverviewWe are seeking a dedicated Events Coordinator to join our External Engagement Team at MIT.
Reporting to the Events Manager, you will play a pivotal role in delivering MIT's Graduation events and supporting other key institutional events that celebrate our learners and strengthen our relationships with industry, employers, and community partners.
The role focuses on end-to-end coordination of Graduation events, ensuring they are executed to the highest standard and reflect the significance they hold for graduates, their whanau, and MIT.
You will manage all aspects of event logistics—from venues and staging to cultural protocols and academic regalia—while collaborating with internal teams and external suppliers.
Your attention to detail, project management expertise, and passion for creating meaningful experiences will be key to delivering seamless and impactful events.
Key Responsibilities
Lead the planning and delivery of MIT's Graduation ceremonies and cultural celebrations.
Coordinate logistics including venues, AV, catering, accessibility, and ceremonial arrangements.
Recruit, brief, and manage staff volunteers, ensuring clarity of roles and smooth event execution.
Act as the main point of contact for stakeholders and suppliers, ensuring alignment and quality.
Monitor budgets, track risks, and report on progress to ensure successful event outcomes.
Collaborate with Marketing and Communications to deliver timely and effective event messaging.
Support other institutional events as needed, applying best practices from Graduation coordination.
Drive continuous improvement through post-event evaluation and stakeholder feedback.
