THE ROLE
We’re looking for a sharp, detail-driven Events Coordinator to join our fast-paced, high-performance team at The Professional Builder (TPB) - the leading business coaching company for residential builders.
This isn’t your typical “book a venue and show up” gig.
You’ll be the operational engine room behind 100 - 200 live events each year, across multiple countries.
From securing venues and booking flights to managing catering, AV, and partner logistics - your job is to make sure every event runs like clockwork.
If you’re the type who loves ticking boxes, building order out of chaos, and seeing a packed-out room come together flawlessly - you’ll fit right in.
WHAT YOU’LL DO
- Source, negotiate, and confirm venues across NZ, AUS, USA, CAN & UK
- Coordinate flights, accommodation, and ground transport for our travelling team
- Maintain detailed run sheets, event timelines, and pre-checklists
- Confirm AV, signage, catering, seating layouts, and workshop materials
- Manage relationships with venue managers, partners, and suppliers
- Track budgets, approvals, and post-event reconciliations
- Support on-site delivery and solve problems in real time (without drama)
- Keep our digital systems and SOPs sharp, streamlined, and repeatable
WHAT SUCCESS LOOKS LIKE
- 95%+ of events run smoothly, on time, and on budget
- Zero last-minute surprises (you’ve confirmed everything twice)
- High satisfaction from team, speakers, and attendees (NPS 8+)
- Clean, accurate tracking of event costs and assets
- Clear communication with every vendor, venue, and partner
YOU’LL NEED
- 2+ years experience in events, travel, hospitality, or operations
- Strong coordination and admin skills - you love a good checklist
- Experience managing international time zones and logistics
- Comfort juggling multiple moving parts across multiple events
- Professional communication style - clear, fast, friendly
- Proactive mindset - you don’t wait to be chased
