Job title: Branch Administrator

About the role

To provide administration and reception service and support to customers and staff within the Bay of Plenty branch of CCS Disability Action Services Ltd.

To ensure smooth day-to-day administration with a key focus on customer service, maintaining systems, and building and vehicle maintenance and safety.

Job-specific information

A strong focus is placed on delivering high-quality customer service by providing timely support to staff, disabled people and other stakeholders.

The role requires excellent communication and problem-solving skills to ensure inquiries are handled effectively and that office operations run seamlessly.

As an administrator, you will :

  • Oversee the day-to-day operations of the Bay of Plenty offices to ensure efficiency and smooth workflow.

  • Reception and administrative duties are completed.

    This includes but is not limited to, processing mobility parking permits, responding to enquiries, taking minutes, organising vehicle and building maintenance, ordering of office supplies, supporting applications for funding including obtaining quotes and banking.

  • Administer and maintain office databases, systems, and records accurately.

  • Provide high-quality customer service and operational support to staff, disabled people, and other stakeholders.

  • Support compliance with health, safety, and security standards across the office sites.

With the support of the Service Manager and staff and our organisation, you’ll :

  • Deliver a safe, well-organised, and responsive work environment that supports staff and stakeholders to thrive and enhances effective service delivery.

  • Provide high-quality, person-centred assistance that is responsive, helpful and ensures a positive experience.

About you

We are looking for people who:

  • Highly skilled communicator, both written and verbal, with excellent attention to detail and organisational abilities.

  • Committed to excellent customer service and building effective relationships as a collaborative team player.

  • Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint) and experienced with various databases.

  • Proactive, organised, and motivated to manage workload efficiently, meet deadlines, and adapt to changing priorities while maintaining quality.

  • Collaborative mindset, flexible in role responsibilities, and willing to support organizational goals beyond individual tasks.
